How to close your investment account and delete your data

1. Overview

This policy explains how your account and data are deleted and what happens to your information. It supports Apple App Store Guideline 5.1.1(v) regarding account deletion.

It is important to understand the difference between the icebrg app and your investment account. The icebrg app is an information and viewing tool. Your investment account is not held by icebrg — it is an account on the icebrg platform provided through your FCA-regulated firm (such as Thomas Grant & Co Limited and/or your investment manager or adviser). Because your account holds regulated investments, money and records, it cannot be deleted from within the app. It must be closed through the platform, in the same way it was opened.

2. How to close your account and delete your data

To close your investment account on the icebrg platform and delete your data, use any of the following routes:

  • Contact your investment manager or adviser— they manage your account on the icebrg platform and will initiate closure. This is the primary route, because account closure involves settling positions, returning any cash and meeting regulatory steps that are handled by your regulated firm.
  • Request closure through the icebrg platform— submit a closure request to your firm through the platform’s messaging or account-closure function.
  • Email icebrg — email info@icebrg.co from the address associated with your account. We will pass your request to the regulated firm that controls your account so they can action it.

From within the app, you can find these instructions and the relevant contacts under Settings → Account → Close Account, which directs you to the closure process. The app itself does not delete the account, because closure must be completed by your regulated firm on the platform.

3. Why account closure runs through the platform, not the app

Your investment account holds assets, cash and regulated records. Closing it is a regulated process that involves:

  • Selling or transferring any investments held in the account.
  • Returning any remaining cash to you.
  • Completing tax-wrapper steps (for example, closing or transferring an ISA).
  • Meeting anti-money-laundering, tax and financial-services record-keeping requirements.

These steps can only be carried out by your FCA-regulated firm on the platform. For this reason, closure is initiated through your firm rather than by a button in the app.

4. What deletion does

Once your account is closed on the platform:

  • Your app login is disabled, so you can no longer sign in.
  • icebrg deletes or anonymises the app and technology data it controls (such as device identifiers, session data and diagnostics), where it is not required to retain it.
  • Your regulated firm deletes or retains your account data in line with its legal and regulatory obligations as the data controller.

5. Data that must be retained

Some data cannot be deleted immediately. The regulated firm that holds your account is required by law and regulation to keep certain records for defined periods — even after your account is closed. This includes records required under financial-services rules, anti-money-laundering law and tax law. Typical retention periods range from five to seven years, and in some cases longer. During this period the data is held securely and used only to meet those obligations.

6. The roles of icebrg and your regulated firm

icebrg is a technology provider and acts as a processor of your account data on behalf of your regulated firm. Decisions about closing your account and deleting or retaining account data are made by that firm as the data controller. icebrg gives effect to those decisions in the software and deletes the technology data it controls.
